When the cost you paid on the last delivery is what the system uses, your margin reporting is real. When it is a number somebody typed in last season, every profit figure downstream of it is fiction.

Most stores reorder from memory, a photo of a shelf, and a spreadsheet somebody keeps on their laptop. In PHP Point Of Sale it starts with the low inventory report telling you what's short and where. Pick the supplier, and the receiving screen becomes a purchase order. It behaves exactly like the register your team already knows: search, add, set a quantity, set a cost. Save it and the order sits open until the boxes arrive. It's a record you can email to the supplier and a list your receiving bench can check against.

When you receive it, quantities go into the location you received into, and the cost you actually paid updates the item, so your margin reflects this delivery rather than last season's price. Afterwards you can see what you've spent with each supplier, and where the same product is cheaper from somebody else.
